Hutchies has a standard format for the Project Start-up & Planning Meeting HB-HSEQ-F-010 to progress the project from the ‘getting it right up front’ phase to the ‘contract’ phase.
This document enables an early review of the project from the initial tender stage so the Project Team can take it forward with complete understanding of what Hutchies has committed to, how we plan to achieve the project requirements and Hutchies’ objectives.
It’s vital everyone participates to contribute as much as they can but more importantly, it’s about making sure the people involved are on the same page.
The aim is to transfer the understanding the job in context (brief summary of considerations below):
1. Tender feedback (eg criteria we won the job with)

2. Client (eg government, institutional investor, long term client)

3. Project end users (eg residents, tenants, operators)

4. Project team (new people, worked together before? Right experience and number of people?)

5. Design team (experience, resources, scope)

6. Design development (suitability of documents, design status and program)

7. Project complexity/scope (type project, scale, works by us/others)

8. Geographically environmental impacts (eg wet seasons, proximity to corrosive areas)

9. Site conditions (eg ground, latent, existing buildings and services)

10. Approvals and authorities (DA conditions, BA, Council)

11. Health, Safety and environmental

12. Methodology including staging (how did we plan to do the job)

13. Program (how long we have do the job and each part of the works)

14. Budgets (what did we allow for)

15. Contract (what are the risks and obligations)

It’s important to recognise this is an important introduction to the project at the front end. With everyone on the same page and the team in place, the next step is to create the full plan for quality.
