Communicating the Plan to Hutchies' Team

Now you have developed a plan for quality, in consultation with others as required, it’s critical to make sure everyone knows the plan and your expectations.
Start-up audit
Initially the entire Hutchies’ Project Team and Team Leader needs to know the details of the plan – so a thorough planning review with everyone present is necessary.
This session may be attended by the Support Teams where required/where the project requires their involvement (see Services/ESD requirements above, imported windows or similar).
Use sensible judgement when scheduling the meeting as to the participants. Add support teams as optional where they are not required but at least the support teams are aware and can participate if available and think it’s necessary. If you definitely want these resources there, simply include them as a required invitee.
The Project team have done the development and documentation of the quality planning, so this is effectively an internal audit (and you can use the Systems audit tool to assist) to ensure it is robust and will deliver the intended outcome –
At this session:
- review the project priorities and areas of focus
- review the entire Quality Management Plan (QMP)
- review the roles and responsibilities of each person
- review the processes and systems to be used
- review and understand hold points for all checks of quality
- review the design team requirements connected to quality including specifications and schedule of finishes
- review the contract requirements connected to quality
- review the approvals required
- review the programme and subcontract letting register
Ongoing Weekly meetings
The team should be meeting weekly to review the progress of the project in all respects – program, contract, preliminaries, quality, health, safety & environment, client focus, approvals, RFIs, etc. The Weekly Project Planning & Control Meeting (PPC Meeting) agenda template is available to facilitate this comprehensive review by the team.
It’s important to have clear objectives set for each person on the Project Team and accountability for achieving these.
It’s important to regularly review the documents and controls – especially authority / client / certifier approvals as the understanding of the project increases over time, so every week is an opportunity to review the way forward with a clearer understanding of the same information that may have been overlooked / misunderstood in the early parts of the project.
